Purchasing Assistant

Permanent, 37.5 Hours, Melmerby, North Yorkshire, Competitive Salary

This is a multi-skilled role involved with office administrative duties, financial responsibilities, supplier and order processing. Responsible for maintaining accurate stock records and assisting and recording the internal distribution of vouchers, gift cards and e-gifts. Balancing batches of gift card and gift voucher orders with correct values. Involved with liaising on orders with suppliers and working alongside other departments in the business.

MAIN DUTIES
  • Responsibilities will include but not be limited to:
    • Allocating and dispatching vouchers, gift cards and e-codes throughout the company’s various departments.
    • Placing orders to suppliers for gift vouchers, gift cards and e-codes to maintain stock levels according to management guidance.
    • Dealing with queries relating to card loading, vouchers and e-codes, internally and with retailers.
    • Card Loading and balance checking of gift cards for various departments according to retailers’ guidelines and systems.
    • Signing in and checking new stock.
    • Exchanging damaged stock with suppliers.
    • Liaising with the department managers regarding stock levels.
    • Assisting with stock security.
    • Regular stock checks.
    • Monitoring stocks of cards, vouchers, e-codes and other related retailer stocks.
    • Assist with the training of new and temporary employees.
    • General office administration.
    • Responsible for health and safety in your area of work.
PERSONAL SPECIFICATION

What competencies and skills are required?

The ideal candidate would have:

  • GCSE’s in English and Maths at or above grade C/4 or equivalent.
  • Experience of working in an administration role is desirable.
  • Previous cash handling experience.
  • Strong analysis and problem solving skills.
  • Excellent organisation skills with the ability to prioritise workloads and work to strict deadlines.
  • Strong computer skills including Microsoft Office.
  • Ability to work under pressurised environments whilst maintaining a calm manner.
  • Able to maintain a high level of attention to detail and accuracy.
  • Excellent communication skills and a confident communicator both verbal and written.
  • Ability to work independently and manage time.
  • To have a positive ‘can do’ approach.
  • Keen and willing to learn while developing new and existing skills.
